Church Suite is a tool for churches to help organise things like address lists, rotas and many other things.

It is a place online, that you can log in to from any web browser or using the free iOS and Android Church Suite app. The apps are controlled by using the usual clicking/tapping, swiping and single-clicking/tapping menus.

We will be using two features of Church Suite, the Address Book and Rotas. Some of the new rotas for 2020 are already viewable once you have logged in to Church Suite (if you are part of the teams), and the rest will be added during this week.

About logging in…

Everyone who has filled out a Consent form and requested to be included in an Address list should have now received an invitation email to Church Suite. The email includes a link to where you need to visit to set up your password for the first time.

Here’s some important things that could help you log in for the first time if you’re having problems:

The church name used for Church Suite is “New Life Church Tunbridge Wells”. There may be times where you need to select your church (for example when using the iOS or Android App for the first time, or logging in from the Church Suite homepage) so please make sure you include Tunbridge Wells at the end.

When setting up your password for the first time, please note this has to be typed in one character at a time, rather than copied and pasted from any password apps or notes where you might store regularly used, or secure passwords. Once you have set up your account for the first time, this password can then be saved if that is a feature your device or browser supports.

What can I do once my account is set up?

Once you have set your password as directed on the email, you will be able to log in and do things like:

Under My Details
> Update your information (we encourage everyone to check that the details on Church Suite are correct, and update them where necessary). 
> Set your communication and privacy preferences
> Change your password

Under My Rotas
> View the rotas you are currently serving
> Let your team know if you’re going to be away for a rota slot, and update the rota with any swaps you’ve arranged so the rest of the team know who’s on.

Under Search for Other
> Look up the details of other Church members

Why haven’t I received an invitation email?

There could be a number of reasons that you have not received an invitation email from Church Suite. Here are some of the reasons, along with what you can do to fix them:

Spam Folder

It could be that the email has been sent to your Spam or Junk folder. This is usually down to your individual mailbox settings.

The best thing to do is to find your Spam or Junk Folder and check for an email from no-reply@churchsuite.co.uk that has [New Life Church Tunbridge Wells] My ChurchSuite Login as the email subject. If it is here there is usually an option to mark the email as not spam, which should help with any future incoming emails. 

Missing email address

If you did not enter an email address when filling out the New Life Church Data Consent form, you’re details will be on Church Suite (depending on whether you gave consent for this or not) so others can see your information, but you will be unable to edit it without contacting the church office.

If you’d like to be able to log into Church Suite and think this might be the issue, you can email the Church office, or Nat Wagstaff (see below) and we will add your email address and send you an invitation email.

Wrong email address

It could be that an old or incorrect email address was entered on the Consent form. If you think this might have been the case, please email the Church office or Nat (see below) with the email address you would like to use and we can update Church Suite. 

Consent form

Finally it could be that you have not yet filled out one of our Data Consent Forms. If you did not receive the Church Suite invitation email and don’t remember filling out this form, blank forms can be found in the New Life Church Lobby (entrance area), please fill one in and hand it to Nat or Corinne. 

What about GDPR?

Church Suite is fully compliant with GDPR, and allows you to have more control of your information. You are able to decide what details others can see about you, and change your contact preferences at any time. But we recommend not removing all contact options as you won’t receive rota notification if you do this.

Paper copies…

A few individuals have requested a paper copy of the address list, there may be a short wait for these as we want to allow time for everyone to update their information where necessary so everyone has the most up to date information. These will be sorted out as soon as possible.

Emailed and a few paper rotas have already been sent out for this next term, and paper versions will continue to be available on request. However, we are always looking for ways to reduce the amount of paper we use wherever possible, so please do consider your need for paper copies.
